Responsibilities

Under general direction of the Supply Chain Manager, the Stores & Receiving Specialist is responsible for maintaining an efficient and organized system for the accurate count and ordering of supplies. The Stores & Receiving Specialist is responsible for improving the delivery of supplies throughout the hospital and managing proper storeroom inventory levels, making sure to order when needed, eliminate stock-outs, proactively handle back orders and delays, monitor expiration dates and keep storeroom par levels down to control costs and reduce expenses.

Essential Functions:

• The Stores & Receiving Specialist monitors and continually adjusts inventory reorder points and quantities to maintain appropriate levels while minimizing inventory value of all stocked items.
• Maintains accurate inventory count of supplies in storeroom to do suggested ordering and keep ahead of stock-outs and back orders, ordering approved substitute supplies when needed.
• Runs stock-out, suggested, open order and other reports as needed.
• Communicates with department personnel to assist with supply needs/planning and resolve any supply-related issues.
• Places all orders into the MM system in accordance with departmental procedures in order to properly record and document all purchasing transactions.
• Reviews and expedites orders to ensure timely receipt of goods and minimize stock-out scenarios.
• Assists with replenishing supplies from changing/closed units and puts back in rotation before expiration.
• Leads the search for expiring product to use before expiration or discard expired items.
• Help keep the storeroom organized and labels shelves and supplies for ease of locating and picking supplies.
• Checks weekly/biweekly spreadsheets from vendors to keep ahead of back-ordered items and check on status of outstanding orders.
• Meets and maintains appropriate relationships with vendors and establishes ongoing communication with sales representatives.
• Labels shelves for better visibility of supplies and rearranges storeroom when removing/adding new supplies.
• Restocks storeroom shelves on a daily basis or as needed to provide the storeroom with well-balanced workflow.
• Reviews and evaluates opportunities for process improvements relating to storeroom, inventory, Par Ex.
• The Stores & Receiving Specialist delivers received supplies to departments to provide a timely and accurate document delivery process to the hospital.
